Scenario #1: Your assistant sent an important memo to your boss that had a number of embarrassing errors. She’s usually very efficient, but sometimes she does too much at one time and she’s made mistakes like this before.
Response: How are you coping with your workload at the moment? I have noticed some mistakes in the memos you have sent out. You are normally very efficient, so I am concerned about you. Is there a process you can put in place so you can check important memos before you send them out? Would you appreciate it if me or a colleague casted our eyes over important memos prior to them being sent? We all make mistakes and they can be easily made especially if you are struggling for time.
Scenario #2: You catch some of your team members talking about last night’s football game when they should be working on a very important project that’s due the next day. Everyone’s been working hard on it for a week.
Response: I’ve heard everyone has been working very hard this week on the project that is due tomorrow. How much is there to finish? Come on lets focus one last push on getting this project over the line, you can do it!
Scenario #3: An employee, who’s otherwise reliable has missed a deadline for the second time in a month. This happened before when her mother was sick but this time she didn’t give a hint of any problem until it was too late.
Response: I was concerned you missed another deadline this month. Is everything ok with you? Are you coping? Can I help you? Have you utilised Employee Assistance? If you keep me updated with any issues you are having we can work as a team to get you through this. You have always been so reliable, and I know you would do the same for your colleagues.
