Leadership PDSA
What is my PDSA about?
My PDSA is about delegation and relying on some of my senior staff to organize important audit documents, per audit directives, for our audit starting next week. This is a task that I would typically be hands on directing myself so that I am fully aware of all information and possible trouble spots. Due to time constraints and unprecedented enrollments coming to our agency, I am not able to do it all, therefore, delegation is necessary and an opportunity for my staff to stretch their own skills.
What is your hypothesis?
My hypothesis is that my designated staff will undertake the task willingly, with stress, and do a good job with minimal questions/directions needed.
What am I going to do and with whom?
For an audit starting next week, my case managers pulled needed information last week and I am having my two senior staff take 8 of the 17 records information and organize the information, by Tuesday pm, into very specific categories ensuring proper order and proper justification, as required by our contract agency. Although not too complicated, there is a certain amount of “thinking through the process” and determining the best set up organizationally in each category that presents the best justifications needed and glosses over potential holes. The documents need to be categorized and uploaded into a shared drive, in which I will complete a quick review of the 8 files to double check for accuracy.
What are my anticipated results?
I do believe my two staff will successfully organize the 8 records by Tuesday COB and my delegation attempt will be successful. After my quick review, I believe that I will find a few areas in which I would have organized some of the information a bit differently – not because how they organized it was wrong, more from a standpoint of there is more than one way to satisfy the requirements and giving up the control is hard for me.
From there, my plan is to assign some of the remaining records (8 more) to be completed by Thursday pm, as all information must be uploaded for review by Friday pm.
What really happened?
As the PDSA was in action Monday and Tuesday, I fielded some questions and provided some feedback. Also, mid-day Monday another staff, not one of my senior staff but very trusted, offered to step in and provide more help. She was brought up to speed and offered to take on a few of the records.
Also, on Monday, it was discovered that a few records needed to be retrieved from our storage unit facility, slowing the process, and I feared, the end goal of Tuesday. But, as of Tuesday evening, I checked, and 8 records had been fully uploaded and a 9th record was partially uploaded.
The test of the PDSA was successful, although not how I anticipated it would carry out. I did not anticipate the third staff to offer to help and complete a few records, nor did I anticipate the slow down, as a few portions of the records had to be located and pulled from an off-site facility. If the slow down had not occurred, I suspect at least 2 more sets of information would have been uploaded successfully.
Additional cycles?
Since the PDSA outcome itself was successful, I plan to finish the week and the additional 7 ½ records to be pulled by the same two senior staff and the other helping, as her time permits. The remainder of the records need to be organized and uploaded by Thursday pm. Perhaps, with the three staff and no slow down’s, it could be even earlier!
